Job Description:

AECOM is seeking an Executive Assistant (EA) to join our Southlake, Texas location in support of our Executive Management team. In this role the EA will be responsible for providing comprehensive support to Executive Management including the ability to anticipate needs, offer proactive solutions, and think critically in a professional manner.

Job Responsibilities:

  • Work closely with the Executive Management to ensure alignment of upcoming commitments and responsibilities
  • Manage the reception desk; answer front desk phone, transfer calls, and welcome visitors
  • Provide calendar management for Executive Management. Prioritize inquiries and requests while troubleshooting conflicts; make judgements and recommendations to ensure smooth day-to-day engagements.
  • Support office events planning and communication to foster a positive, connected culture
  • Manage a variety of tasks that facilitate Executive Management’s ability to effectively lead the organization including special projects, Board of Directors related activities, preparation of reports and presentations, composing and responding to correspondence, making travel arrangements and preparation of expense reports
  • Organize client, project and internal/external meetings including room bookings, preparation of conference rooms, coordinating with IT for additional technology requirements needed for engagements, and catering arrangements as required
  • Maintain office safety by following safety procedures and controlling access to the building

Job Requirements:

  • Highly proficient in Microsoft Outlook, Excel, Word and Power Point
  • Experience working with highly confidential information
  • Ability to achieve results by influence and diplomacy across a large matrixed organization
  • Ability to anticipate business needs, handle issues and ask the right questions before problems arise
  • Ability to think and act independently
  • Candidates must possess an Undergraduate Degree and at least 10 years of relevant experience
  • Experience working in a global environment and across multiple time zones
  • Adept at working in a highly demanding, dynamic and fast-paced environment
